Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team.
The ideal candidate will have excellent computer literacy skills, strong communication abilities, and a customer service-oriented mindset.
As an Administrative Assistant, you will play a crucial role in supporting the smooth operation of our office.
Responsibilities:
- Provide administrative support to ensure efficient operation of the office
- Manage and organize office files, documents, and records
- Perform data entry tasks accurately and efficiently
- Act as custodian of departmental documents and records.
Establish and maintain filing system.
- Prepare technical and statistical reports, policies, and documents.
- Compile information for monthly/quarterly/annual reports for the department.
- Scan, index and upload records to Laserfishe for electronic record keeping.
- Provide Lien Payoff Statements.
- Notarize City documents.
- Compose, type, and edit a variety of correspondence, reports, memoranda, and other material.
- Perform data input of standard office forms and compile tabulated data for various reports.
- Conduct research for special projects and ordinances for staff.
- Transcribe meeting minutes and other documents as required
Skills:
- Proficient in using computer software such as Microsoft Office Suite (Word, Excel, PowerPoint and Access)
- Able to Navigate Windows operating systems: Windows XP, 7, 8, 10 or later and/or Apple operating systems.
- Proficient in the use of Adobe Acrobat
- Able to Navigate Google Chrome
- Strong organizational and time management skills
- Excellent written and verbal communication abilities
- Attention to detail and accuracy in data entry tasks
- Ability to handle multiple tasks simultaneously and meet deadlines
- Professional phone etiquette and customer service skills
