About you and this role – Dow has an exciting opportunity for an Administrative Assistant in Seadrift, TX The purpose of this job is to provide administrative and office management support to the Site Logistics (PSL) team in Seadrift, TX.
This department has approximately 40 employees and 120 contractors.
This job helps to ensure effective communications and information management in order to increase productivity for all department personnel.
Responsibilities – Provide a wide variety of professional administrative support under limited direction to leaders, colleagues or groups in the organization.
Under limited direction, is competent in scheduling meetings, booking conference rooms, ordering food/drink, and managing the visitor process.
May attend meetings to assist with presenting materials or taking notes.
Under limited direction, ensures communications flow properly utilizing knowledge of business / function’s organization structure and overall Dow processes.
Takes ownership in their work.
Demonstrates good problem-solving skills.
Capable of prioritizing competing requests successfully and multi-tasking.
Demonstrates comfort and skill when using technology.
Strong organization and time management skills.
Good planning skills and ability to anticipate needed resources.

Helps troubleshoot issues and serves as a point person for questions or guidance.
May act as department focal point with external vendors, service providers, etc.
Maintains calendars, conference room schedules, and routine plant reporting.
Manages office supplies, travel expense reporting, and department phone, mail and workstation systems.
Helps to coordinate department transfers and onboarding of new employee moves.
Gathers department data and prepares routine reports utilizing various software packages.
Builds appropriate rapport and effective relationships within Dow.
Understands and responds to others’ concerns.
Able to compile diverse opinions to help resolve issues.
Targets written and verbal communications to difference audiences clearly and concisely.
Alerts others who are affected by his/her work when or before problems arise.
Serve as a helpful and positive presence in the workplace.
Works independently with the software/IT tools.
Teaches and coaches others how to use standard office equipment and software systems.
Maintains documents and records in accordance with company guidelines.
Utilizes information integrity principles to properly classify, store and protect confidential technical information.
Identifies customer/client/co-worker needs and responds to semi-routine requests.
Understands and utilizes integration of different business/functional systems.
Owns and manages the Electronic Document Management System and Physical Library which includes: Continuous improvement within work processes and systems.
Maintaining and adding documents into SharePoint sites and Teams.
Acts as the technical office equipment focal point to enable daily effectiveness.
Create/maintain custom templates for department.
Oversees contract Document Administrator that helps manage all physical and electronic libraries.
Ensure proper security privileges for all of PSL drive sub-directories.
Oversee the categorization of documents before WebEDMS entry.
Customize/design/maintain WebEDMS menus, layouts and functions.
Enter documents into WebEDMS.
Move updated documents in WebEDMS as they are modified and update cross-references as needed.
Customize Operating Discipline training materials for department.
Creates custom electronic operating procedures using Pride software.
Facilitate training of all employees on Dow Workstation, Windows applications, WebEDMS, and various tools.
Assist in operating discipline efforts for the department to ensure full compliance with Document Management System.
Facilitate proper transfer of documents from employees to Electronic Library system.
Provide general training and support for this system for all hourly/salary employees.
Assist in ensuring that department policies, Quality System, Emergency Plans and procedures are current.
Qualifications – A minimum of a High School diploma or GED equivalent.
A minimum of 3 years of relevant experience.
Must have a valid US Driver’s License.
Experience with all Microsoft Office applications (Word, Excel, PowerPoint and Outlook).
A minimum requirement for this U.

based position is the ability to work legally in the United States.

Preferred Skills – An associates degree or higher education.
Proficiency to work in a collaborative team environment across businesses and functions.
