Primary Purpose:
Ensure the efficient operation of the Strategic Planning & School Improvement Office and the Assessment & Accountability Offices; serve as administrative assistant and secretary to the Executive Director; handle confidential information and frequent contact with all levels of district employees, outside agencies, and the general public; provide assistance with and maintain Public Education Information Management System (PEIMS) electronic data for the district.
Qualifications:
Education/Certification:
High school diploma or GED
Two years of college coursework in business-related subjects or equivalent work
experience (preferred)
Special Knowledge/Skills:
Proficient in Microsoft Office 365 and Google programs and apps
Ability to use personal computer and software to maintain spreadsheets and databases
Strong organizational skills and ability to multi-task effectively
Effective communication and interpersonal skills
Knowledge of basic accounting procedures
Knowledge of and experience using eSchoolPlus and district’s student and financial
management systems
Knowledge of and experience with PEIMS
Ability to comply with established timelines
Experience:
Two years of related work experience, preferably in a public education environment
PEIMS experience at the campus or district level
Responsibilities and Duties:
Prepare correspondence, forms, reports, etc.
, for the Executive Director.
Compile pertinent data as needed when preparing various federal, state and local reports.
Greet visitors and respond to routine inquiries from staff and public; refer appropriate inquiries or problems to Executive Director.
Answer incoming calls and handle questions from public, outside agencies, staff, etc.
Maintain a schedule of appointments for Executive Director of Strategic Planning & School Improvement and for the Director of Assessment and Accountability.
Monitor and process personnel time records including but not limited to leave requests and reports, compile payroll information and submit to payroll office.
Maintain physical and computerized files.
Monitor budget for the Executive Director's Office & Department.
Prepare and process budget requisitions.
Prepare regular budget reports for Executive Director.
Prepare payroll reports for Executive Director's office and monitor personnel time records.
Make travel arrangements for department as needed, including making hotel reservations and completing conference registration forms.
Schedule meetings and prepare meeting locations.
Assist the PEIMS department with importing and exporting PEIMS Data files into TSDS (Texas Student Data System) and other business software to build, upload, verify and validate data as well as provide error resolution support.
Assist with training personnel on PEIMS procedures and coding as needed.
Serve as a positive ambassador between PEIMS, campus leadership and staff.
Participate in ongoing PEIMS trainings and workshops.
Review and distribute mail.
Maintain confidentiality of information at all times.
Perform other duties as assigned.
